How to compare commercial cleaning bids

The lowest total is not necessarily the lowest price for the same work. First make every proposal describe the same job.

Normalize these seven items

  1. Cleanable square footage and excluded areas
  2. Days per week and expected service hours
  3. Exact tasks and frequency by room type
  4. Consumable supplies and equipment responsibility
  5. Floor care, windows, and periodic deep cleaning
  6. Staffing, supervision, security, and access
  7. Insurance, contract term, increases, and cancellation

Convert totals to comparable units

Compare the recurring monthly total, cost per visit, and cost per cleanable square foot per visit. Keep one-time startup work and optional services outside the recurring total.

Red flag: A proposal that names only a monthly total leaves too much room for scope differences. Ask for the service schedule and exclusions in writing.

Use benchmarks carefully

A calculator can help you form questions, but it cannot know the final local scope. Document-backed local observations provide stronger context when enough comparable records exist.
